Whiteboard: Timesheet Approvals

There’s one really big advantage to timesheet approvals. In other words, having managers check employee timesheets for correctness. That advantage is the value you get from another set of eyes. Mistakes are easy to make; everyone does it. But having a backup eliminates most of them. That’s what timesheet approvals are all about.

Here is the process:

  1. Employee fills in timesheet
  2. Or, if the employee forgets to fill in the timesheet by Monday, an email reminder is sent
  3. Employee re-checks the numbers, and clicks “Submit for Approval”
  4. An email is sent to the manager
  5. Managers view a list of everyone who have submitted their timesheets
  6. Managers view each employee timesheet
  7. Numbers are re-checked
  8. Managers approve or reject timesheets
  9. Employees optionally fix rejected timesheets
  10. Managers lock timesheets so no more changes can be made
  11. Employee receive an error when attempting to change a locked timesheet

There are two ways: 1. Let the client log into your project portal. They will see every project you’re doing for them, and the current status. Quick Questions: Billing Rates By Role

For each project an employee may have a different role and different billing rate. The following video shows how to organize them.

Consider that on any given project, employees could take a different role or responsibility.  You may be the team lead on Project A, but just an ordinary engineer on Project B.  A colleague may be the project manager today, and customer liaison tomorrow. Roles change. Responsibilities change.

And the billing rates for each role also change.

Keeping track of who performs which role on every project is a job. And what billing rates are you charging for each? That’s another job.

Quick Questions: Client Billing Rates

Clients use a variety of models when billing clients.  The most common is rates by employee.  In other words, each employee gets their own billing rate for each project.  The collection of rates on Project A are different than Project B.

Why is this?

Because consulting firms provide a lot services, and offer the specific talents of many individuals.  Plus, they have a lot of clients.  That is a recipe for complex billing arrangements.  The sales department gets what they can.  The client pays what their willing to.  And we meet in the middle.  When the dust clears, there are specific rates for each project.

Other less frequently used models are “By category,” “By role,” “Option Year contracts,” or flat project rates.  Fixed-fee project are quite common, where the client is billed a percentage of the total on a milestone basis.  For example: one-third upon signing, one-third at beta, and one-third at delivery.

Interview: Mileage Tracking

Do you travel for your job?  Consultant?  Service Tech?  Road Warrior? Standard Time® allows you to keep track of your expenses and mileage.

Mileage records are just expenses that contain a destination, odometer readings, distance, and other optional fields like your vehicle name.  You can enter them into an Android or iOS app, which will sync with the cloud or desktop.

Interview: Customer Login and App

Clients want project status — all the time!  they want to know who is working on it… what is being done… how much it is costing them… and when it will be done.  Drilling into that, clients want to know the status of every task, which ones are finished or near completion, and which ones are upcoming.

That is the purpose of the ‘client login’ feature in your timesheet.  Clients have a special login they can use to check progress without bugging you.  They will see every project you’re doing for them, and all the hours logged.  They can also see expenses.  This becomes their own little project portal.

Download the ProjectBot app from the Google Play Store to do the same thing.

ProjectBot runs on Android.  It’s the same thing as the client project portal mentioned above, but runs on smartphones.  Just another convenience for checking project status.

  2. Employees can only enter time for themselves, not for other employees
  3. Time should only be entered on the day it occurred, not past or future
  4. Notes are required for any changes to past entries
  5. Timesheets must be submitted and approved by a manager

Make invoices your own with Standard Time®. Put your company logo, company style in every invoice sent out to clients.

Invoice templates in ST at simple RTF documents.  That means you can edit them any way you like.  Open them in your favorite word processor and go to work!  Add your logo, motto, corporate colors and style.  Add anything you like.  When you’re done, save it in the Invoices\Templates folder.  Now you use it in ST.

Place these tags in your document to serve as placeholders for data.

Interview: Utilization Rates

There is a report that can be run in Standard Time® that tells how much money you’re making per scheduled work hour.

Such a report is called a Utilization Report.

A utilization report contains several things:

  1. The number of scheduled hours for the given time period
  2. The percentage of billable hours for each employee, for that same time period
  3. The effective billing rate for each employee

With such information, you can tell which employees are making the most revenue for your organization.
